In Vietnamese, trade show and exhibition are usually translated with the same word, so many companies don't distinguish between them when preparing booth content. So what is a trade show? It is more than another word for exhibition. It refers specifically to the group of exhibitions that limit visitors to people in the industry, and are not freely open to the public.
The visitors are the biggest difference
A trade show on animal feed only lets in people holding a registration for a relevant profession: producers, distributors, veterinarians. A broader exhibition such as a consumer goods fair is one anyone can buy a ticket to see. This difference decides how you prepare content: a booth at a trade show needs in-depth technical information, while a booth at a public exhibition needs easier-to-follow content and a more eye-catching experience.
Why this confusion wastes budget
A company that prepares an eye-catching product display for a B2B trade show usually draws the wrong kind of visitor: curious passers-by rather than people with the power to buy. Conversely, a booth full of technical data placed at a public fair makes visitors walk past because they can't grasp the message.
Tickets and invitations: how a trade show controls its audience
Trade show organizers control visitor quality in several layers: requiring advance registration with a job title, sending personal invitations to a target customer list for the industry, or requiring a company business card scan at the gate instead of selling tickets freely. Exhibitors should ask the organizer clearly about this screening mechanism before booking a booth, because tight screening usually comes with fewer visitors in number but much higher quality.
When an event has a trade show and also opens its last day to the public
Some large exhibitions give the first two days to industry visitors (trade days) and open the last day freely to the public. With this model, exhibitors need to prepare two different sets of content for the same booth, changing materials and the team's approach as soon as the public day begins, instead of using one script for all three days.
What the cost of joining a trade show includes
Beyond booth space rental, exhibitors need to factor in the participation fee charged separately by the organizer, the shipping cost for samples and display items, flights and hotels for the team if the show is in another province or abroad, and food and lodging throughout the days. A company taking part for the first time often counts only the booth fee and is surprised when the real total is much higher, because it missed the accompanying logistics costs.
Where trade shows in Vietnam are heading
Vertical trade shows, in agriculture, aquaculture, food and technology, have been appearing in greater numbers in Vietnam in recent years, largely because domestic companies want to reach international partners without flying abroad. That is also why most of the consultations I have received lately ask about expanding into Southeast Asia through industry exhibitions.
How booth preparation differs between the two types
For a trade show, the priorities are technical materials, a team that can answer in-depth questions, and a tool for capturing visitor information. See also what lead retrieval is. For a public exhibition, the priorities are visual experience, interactive activities and a message simple enough that someone unfamiliar with the industry understands it in the few seconds they walk past.
