October is always the deciding moment
Every October, companies' year-end event calendars begin to fill up, and most venue decisions get made in this period. Observing many event organizers over recent years shows a clear trend: more and more companies are moving their year-end team building into indoor spaces instead of resorts or outdoor fields as before.
Reason one: rain risk right in peak season
October to December in the south still falls in the tail end of the rainy season. An outdoor event booked back in August may well meet rain on the day, and the company then has to reschedule or switch to a plan B it prepared, which usually costs extra for a backup hall.
Reason two: year end is the busiest time, so the schedule can't move
Year end is also when departments are closing figures, writing reports and preparing next year's plan. An event rescheduled because of the weather means rearranging the work calendars of a hundred people, something every HR team wants to avoid.
Reason three: easy to combine with the year-end party
Indoor spaces usually have adjacent dining and event areas, which lets a company hold the racing or team building activity in the afternoon and move straight to the year-end party without changing venues. That is a big difference from outdoor events, where the party usually has to be held separately at another venue.
Reason four: no budget surprises
An indoor all-inclusive package usually already covers the activity, food and entertainment, so the company knows the exact total from the start. Outdoors, by contrast, there are often extra fees for a backup venue, a shuttle, or surcharges when you have to reschedule at short notice.
Reason five: it suits a large group, with a controlled space
For groups of 100 or more, managing safety and the schedule in an outdoor space is much harder than at an indoor venue with established operating procedures. The Team Building & Year-End Party package at Infinity Racing is one example: the venue is ready to host groups from a few dozen to several hundred people, even when the company confirms on short notice in peak season.
Figures to reference when planning
The reference investment for an all-inclusive year-end team building package here ranges VND 70-100 million (roughly US$2,700-3,900), covering kart racing on the three-level track, food and on-site entertainment. Because this is peak season, the best time slots are usually booked 4-6 weeks ahead, so whoever is in charge of the event should settle the plan right at the start of October instead of waiting until close to year end.
The switch doesn't have to replace old habits in one year
A common concern when proposing to move year-end team building indoors is that staff will feel let down after years of an outdoor atmosphere. In practice, the switch doesn't have to be abrupt within one year. A gentler approach is to keep outdoor activities for smaller team building days during the year, for example by quarter or by department, and reserve the company-wide year-end event for the indoor option, at exactly the period of highest weather risk.
This lets the company keep the outdoor experience some staff love while removing the biggest risk at the most sensitive time of year. After one or two successful indoor events at year end, many companies find the positive feedback is enough to consider extending it to other team building days during the year, instead of having to decide on a complete change from the beginning.
Which decision is right for your company
The five reasons above don't mean outdoor has lost its value, but for the year-end period specifically, the balance of risk and the need for schedule certainty tilts clearly toward indoors. For companies still undecided, the more important question isn't which venue is prettier. It is which venue doesn't leave the company managing a schedule crisis in the busiest week of the year.
