MICE is a term often used loosely to refer to every business event, when these four letters actually stand for four types that differ widely in scale, purpose and measure of success. So what is MICE in practice? Naming the type wrongly from the start, for example planning a conference when all you need is a meeting, easily inflates the budget because you invest in items you don't need.
Four letters, four different purposes
Meetings are internal or partner meetings, small in scale, aimed at making decisions or discussing specific work. Incentives are reward trips for staff or agents who hit their targets, aimed at motivation and not at delivering content. Conferences are gatherings with a content program, speakers and discussion sessions, ranging from a few dozen to a few thousand people. Exhibitions are trade shows: booths, visitors and a direct commercial purpose.
The line between a conference and an exhibition is often confused
Many companies call a product launch with a few display stands an "exhibition," when it is in essence still a conference with a product experience area attached. The difference lies in the revenue model: a real exhibition sells booth space to many different exhibitors, while a conference with an experience area serves only one brand.
Why classifying correctly helps you budget accurately
Each type has a very different cost structure. A meeting doesn't need a stage or a complex sound system. A conference needs more investment in content and speakers than in decoration. An incentive trip needs more investment in experiences and travel logistics than in program content. Identifying the wrong type at the start is a common reason an event budget gets allocated badly.
Who in the company should decide the type
HR is usually best placed to decide on an incentive trip, because it understands the reward criteria and what staff want. Marketing or business development is better placed to decide on a conference or exhibition, since those tie directly to goals for reaching customers. Giving the decision to the wrong person, for example letting HR choose the type for a product launch, often produces a program leaning toward a good mood but lacking the commercial content it needs.
When an event needs to combine several types at once
It isn't rare for a large program to combine a conference, a small exhibition and an incentive element for VIP partners in the same trip. In that case, the budget should be separated by type from the start, instead of lumped into one total, to avoid the incentive part eating into the conference content budget or the other way around.
Does incentive travel need a specialist travel company
An incentive trip differs from an ordinary tour in that it must weave the reward element, usually an awards ceremony or a team bonding activity, into the travel and leisure schedule. A pure travel company is good at flights and hotels, but doesn't always have experience staging the recognition portion with the right level of ceremony. A company with a large incentive budget should ask the contractor whether it has actually run the recognition program or has only handled the travel logistics.
